Rental and maintenance of 16 multifunction photocopiers

Summary

The contract covers the rental, without an option to purchase, of 16 multifunction photocopying, printing and scanning machines, together with their maintenance: 11 machines are to be installed at the El Cabo building in Santa Cruz de Tenerife and 5 at the Nuestra Señora de El Pino Social and Health Centre in Gran Canaria. The service includes installation, network connection and user-computer configuration, required software, user training, comprehensive maintenance and technical support. The rental and maintenance charge includes, among other things, labour, spare parts, toner, consumables and call-outs; paper and staples are excluded. The supplier must arrange for toner and other equipment-generated consumable waste to be collected and handled by authorised waste managers. The equipment must be installed and operational within two months of the contract start. The contract runs for four years and may be extended by up to one year, for a maximum total term of five years. The tender budget is EUR 82,051.45 including the Canary Islands indirect tax; the estimated contract value is EUR 95,854.50 excluding tax. The procurement is a single lot. Offers are assessed on price and quality: price scores up to 75 points, free copies up to 15 points, and technical support and consumables delivery time up to 10 points. For free copies, up to 150,000 copies across all 16 machines over the contract term are counted. The estimated annual volume per machine is 100,000 black-and-white copies and 80,000 colour copies. Tenderers must meet the financial and technical capacity requirements, hold the required registration and provide the names and professional qualifications of the installation personnel.
