Delivery and implementation of a computer terminal classroom and virtual reality equipment for an educational project in Ogrodzieniec Municipality

Summary

The procurement has two lots of IT and educational equipment for schools: (1) a computer terminal classroom, including equipment, furniture, licences, software, installation, configuration and staff training; and (2) eight standalone virtual reality (VR) headsets with educational platforms, licences and training. Bids may be submitted for either or both lots, and the same supplier may be awarded both. Lot 1 includes 16 student terminal stations, a server with at least 16 physical processor cores and 128 GB RAM, a UPS of at least 1200 VA, network equipment, a teacher’s computer, a 75-inch 4K interactive display with camera, OPS computer and mobile stand, furniture, headsets and software. The terminal solution must support at least 16 simultaneous user sessions. Classroom management software must have a perpetual licence and at least 12 months of free updates. The work includes system and network configuration, installation of up to seven free educational programs, security hardening, staff instruction and handover/network documentation. On-site training must last at least five hours. Lot 2 comprises eight standalone VR devices with at least 64 GB of storage, charging and storage equipment, and VR/AR learning content for different subjects. It includes an English-learning licence for at least eight users for 12 months, a VR/AR content-creation platform licence for at least 13 users (including 12 students and one teacher) for 12 months, and at least four hours of on-site training. Each headset must provide at least two hours of continuous battery operation. The package must support central teacher control and simultaneous charging of all devices. Cloud-platform data must be processed and stored in the European Economic Area, with options to export and delete it. Equipment must be new, complete and ready for use. The standard warranty and defect-liability period is 24 months, and the server warranty is 36 months; time-limited software is covered for the relevant licence or subscription period. Delivery is due within 60 days after contract signature for Lot 1 and 30 days for Lot 2. Price is the sole award criterion (100%); no tender guarantee is required. The offer must comply with the technical specifications and include the required offer forms and declarations. Bidders for Lot 1 must also meet the stated previous-experience requirement for supplying, implementing and configuring IT equipment.
