Screening, organisation and digitisation of the Espartinas municipal archive
Summary
The Municipality of Espartinas is procuring services to screen, organise and digitise its municipal archive’s payment records from 2000 to 2018. The work covers approximately 2,325 A–Z folders: identifying and removing duplicate, obsolete or unnecessary records, then digitising, organising and indexing the documents to be retained. The contractor must deliver a complete, usable digital archive with an inventory, user manual and work register, and train municipal staff who will use the archive. Discarded documents and folders must be sorted, packed and taken to the collection point designated by the municipality or to an authorised waste operator. The contract runs for seven months with no extension. The maximum bid is EUR 14,207 excluding VAT, or EUR 17,190.47 including 21% VAT; price is the sole award criterion. The bidder must provide a team of at least two appropriately qualified technicians and maintain an operational office or branch in Seville province throughout the contract. No separate economic or technical solvency thresholds apply, but bidders must provide the required declarations and register evidence and meet the technical, data-protection and employment requirements in the tender documents.
