Maintenance of ventilation, refrigeration and smoke extraction systems at the DESY Zeuthen campus

Summary

DESY is procuring annual maintenance and inspection of ventilation, refrigeration and smoke extraction equipment at its Zeuthen campus, including fault response and necessary repair and modification work. The contract is scheduled to run from 15 November 2026 to 14 November 2028, with a single 24-month extension option through 14 November 2030 unless either party gives six months’ written notice. Maintenance must be completed by the end of 2026 and, from 2027 onwards, between 1 March and 30 October each year. The contractor must coordinate maintenance visits with DESY, maintain a fault history for each unit, and provide maintenance reports and digital documentation no later than 14 days after servicing each unit. A year-round 24/7 on-call service is required, with arrival within two hours for the data-centre and cleanroom 1H105 equipment, and within eight hours for other equipment. The bid must include all required prices and documents; price is the sole award criterion (100%). Alternative bids are not accepted, and the offer must be submitted electronically in German. Participation requires at least three references for comparable work carried out within the last three years, specified certificates and other evidence of suitability, and the required declarations concerning exclusion grounds, minimum wages, insurance and sanctions.
