Comprehensive maintenance service for the photocopiers of the Port Authority of Ceuta

Summary

The tender covers comprehensive maintenance of six Canon photocopiers for the Port Authority of Ceuta for 36 months, with an option to extend once for a further 24 months. The service covers installation of four IR-ADVDXC3930I and two IF1333I machines, operator training, preventive maintenance, on-site repairs, labour, parts and drums, and supply of black and colour toner. It also includes software and driver updates, technical support, meter and consumables monitoring, and configuration for up to three workstations. For each machine, the maintenance fee includes up to 20,000 A4 black-and-white prints, 10,000 A4 colour prints and 8,000 scans per year. Additional volumes and work outside the flat-rate package are covered by an annual allowance capped at €1,000 excluding IPSI; such work requires prior approval by the contracting authority’s representative. Additional unit prices excluding IPSI are €0.0275 for an A3 black-and-white print, €0.0138 for A4 black-and-white, €0.22 for A3 colour, €0.11 for A4 colour and €0.0016 per scan. The base budget is €27,204.24 including 4% IPSI, and the estimated value is €43,596.55. The contractor must respond within 4 working hours to critical incidents, 8 to serious incidents, 24 to ordinary incidents and 48 to technical queries. Maximum repair periods are 24 hours, 48 hours and 5 working days respectively; if a fault is not repaired within 48 working hours, an equivalent or better replacement machine must be supplied at no extra cost. Each machine must have at least 98% annual operational availability. Offers are assessed automatically: price carries 70 points, and the extended warranty for labour and original parts carries 30 points (15 points for a two-year warranty and 30 for a three-year warranty). Bids must be submitted electronically, and each business may submit no more than one bid.
