Event production and catering services for Madrid Destino

Summary

Madrid Destino is procuring event production, installation, concept development and catering services for tourism-promotion activities, professional-hosting events and tourism events planned for 2026 and 2027. The work may include audiovisual and computer equipment and furniture rental, connectivity, temporary event structures and graphics, staffing, transport, catering and workshops. The contract is not divided into lots. It runs for 12 months from signature or until the budget is used up, whichever comes first; no extension is provided. The estimated value is €497,000 excluding VAT (€601,370 including 21% VAT), but payment is limited to services actually delivered. Tenderers must submit discounts against the prices in all ten service chapters and state a management commission of 0–4% and a coordination commission of 4–7%. The award criteria carry up to 100 points: discounts 25, management commission 20, coordination commission 20, offices or partners in strategic markets up to 20, a list of at least four service providers certified in sustainability policies 10, and a demonstrably experienced event-concept specialist 5. The strategic markets are the United States, Mexico, the Middle East and China. The specialist must have a relevant higher-education qualification and at least 10 years of similar experience in tourism or the meetings sector. Bids must be submitted electronically with the signed European Single Procurement Document and required forms. The successful tenderer must provide liability insurance of at least €600,000 for each required category of liability and a final guarantee of 5%. Subcontracting is permitted up to 25% of the invoice for each complete event, subject to notification to the contracting authority.
