Organization and management of Pozuelo de Alarcón’s Educational Science Fair

Summary

The contract covers the full organisation and delivery of Pozuelo de Alarcón’s educational science fair for school pupils. The contractor must plan and run a five-day fair on 16–20 November 2026 and on similar dates during the 2027/2028 school year; the dates may be changed for organisational reasons. Each fair day runs from 9:30 to 13:30 and includes an opening science talk or demonstration and four parallel workshops: experimental science, applied technology including robotics and programming, astronomy and space exploration, and fun mathematics. Participants rotate through the workshops in groups of approximately 25, with about 100 pupils attending each day. The contractor must adapt content for primary and secondary pupils, provide staff experienced in science and education, supply learning materials and the scientific and technological equipment needed, manage registration with schools and event logistics, and produce a post-event report and the participating schools’ satisfaction survey results. The minimum team comprises one full-time administrative assistant for two months, four STEAM professionals to deliver the workshops, four fair support staff, and a STEAM expert speaker. The contractor must hold public liability insurance with insured cover of at least EUR 300,000. The initial contract term is two years from signature, with a possible extension of up to one year or until the science fair for the 2028/2029 school year has concluded. The estimated contract budget is EUR 31,854.38 excluding VAT (EUR 38,543.80 including VAT); the estimated total contract value including a possible extension is EUR 47,781.57 excluding VAT. Evaluation awards up to 48 points for price, up to 30 points for additional workshop proposals across the four themes, and 22 points for extending the fair by one working day.
