External document archive services for the storage, custody and comprehensive management of document holdings

Summary

The tender covers external document archive services and is divided into two lots. Lot 1 concerns the storage, custody, indexing, consultation, digitisation and certified destruction of Ineco’s document holdings. Lot 2 concerns collecting, transporting and registering documentation currently held by another external provider. Bidders may apply for one or both lots, but Lot 2 will only proceed if Lot 1 is awarded to a provider other than the current provider. Lot 1 has a 24-month term, with a possible extension of up to 24 additional months. Lot 2 has a two-month term and no extension. The supplier must provide secure archive facilities, document tracking, inventory and request-management systems, transport capacity and suitably experienced staff. Lot 1 requires storage capacity for at least 8,500 containers, facilities within 150 km of Madrid, and delivery of standard requests within 24 hours and urgent requests within four hours. Certified destruction must comply with Level 5 of UNE-EN 15713:2024. The award is based on price, technical quality, social and environmental criteria, with a maximum of 100 points.
