Maintenance services for the University of Évora vehicle fleet

Summary

The University of Évora is procuring maintenance and repair services for its vehicle fleet, divided into seven lots for 730 days starting on 1 January 2027. The lots cover mechanical maintenance for 17 vehicles registered in 2006–2014 and 19 vehicles registered in 1992–2005; tyre replacement and related work for 38 vehicles; electrical maintenance for 37 vehicles; bodywork and painting for 38 vehicles; mechanical maintenance of a Volvo passenger heavy vehicle; and maintenance of the bodywork, air-conditioning and electrical systems of a Volvo heavy vehicle. A bidder may tender for one or more lots but must cover each selected lot in full. The lot price ceilings, excluding VAT, are EUR 65,000, EUR 62,000, EUR 12,500, EUR 16,000, EUR 27,000, EUR 20,500 and EUR 12,500 respectively, for a total of EUR 215,500. Scheduled preventive maintenance is annual and includes, among other things, changing engine oil and filters; additional preventive and corrective maintenance is required as needed. The tyre lot covers 80 tyres, 80 wheel balancing services, 80 valves and 20 wheel alignments; the electrical lot includes 14 batteries and 10 air-conditioning recharges. For lots 1–5, the repair workshop must be no more than 15 km from the University’s vehicle parking site; for lots 6–7, the limit is 150 km, measured along paved roads. The contractor is responsible for transporting vehicles to the repair site. For lots 1–5, repairs must be completed within five working days after a vehicle arrives, and quotations must be provided within three working days. Services and parts for the Volvo lots must be Volvo-certified. For lots 1–5, evaluation weights are labour hourly rate 10%, response time 10%, workshop distance 30% and price 50%; for lots 6–7, price is the only award criterion. Bids must be submitted electronically by 10 October 2026 at 23:59 and remain valid for 90 days. The bid must include signed declarations, the completed price schedule and other required proposal documents; no tender guarantee or variant bids are required.
