Organisation of the two-day Clean Air Forum 2027 conference

Summary

The procurement covers the organisation of the two-day Clean Air Forum 2027 on 16–17 March 2027 at the Copernicus Science Centre in Warsaw. Day one is a workshop day for up to 400 participants and day two is a plenary day for up to 600; the event is in person, with plenary presentations and discussions also made available online. The work comprises technical event organisation and catering. Technical organisation includes, among other things, the event website and participant registration, promotion and conference materials, technical staff and multimedia equipment, photography and filming, recording the plenary day, preparing the venue and coordinating event operations. Catering includes coffee breaks and buffet lunches, service staff, tableware, furniture, transport and cleaning. The contractor must meet the specified menu, serving quantity, temperature, food safety and environmental requirements. Bidders must demonstrate relevant experience for the part concerned: at least 10 qualifying conference services for technical organisation, together with the required coordinator experience; or at least 10 qualifying catering services for events of at least 300 people. Evaluation takes account of price and experience, and, for catering, the regional and environmental aspect. The offer must be submitted electronically in Polish and identify the coordinator. The tender documents state a submission deadline of 9 October 2026 at 12:00.
