Case management system for the Municipality of Rucphen

Summary

The tender covers the supply of a new case management system for the Municipality of Rucphen as a SaaS service. The scope includes implementation, configuration, data conversion and migration, construction of the required integrations, technical management, maintenance, support, further development, training, documentation, and the creation and maintenance of an accessible and searchable pre-deposit environment. The existing system will be replaced by a solution supporting case and document management, archiving, web forms, portal functionality, reporting, customer contact, GIS and publication processes. The expected user base is approximately 250 users, while the price comparison is based on 200 users. The complete, undivided tender must be submitted by 26 October 2026 at 09:45. Awarding is based on the best price-quality ratio: price carries up to 250 points and quality up to 750 points. Quality assessment covers, among other matters, a demonstration of a working production solution lasting up to 90 minutes, an implementation and migration plan, optional functionality, security, manageability, sustainability and Microsoft 365 integration. The contract starts on 1 January 2027, has a fixed term of four years and may be extended twice for two years.
