Supply and installation of multimedia and technology equipment for COFIDES’s new premises

Summary

COFIDES is seeking a single, integrated multimedia and audiovisual solution for its new premises in Madrid. The contractor must supply, transport, install, connect and configure the equipment and integrate it with COFIDES’s Microsoft 365 and Teams environment. The scope covers displays, videoconferencing equipment, cameras, microphones, speakers, control systems, audiovisual networking, cabling and an equipment rack for offices, meeting rooms, the boardroom, a multipurpose room, the Ágora and shared areas. The contractor must also survey and design the installation, verify existing pre-installations, carry out testing and user acceptance, provide documentation, and train users and administrators. One contractor will be responsible for the interoperability and performance of the complete system. The contract ceiling is €245,000 excluding VAT (€296,450 including VAT). The offer must include a total price, an itemised breakdown of equipment and work, unit prices, options, and all licence, subscription and other recurring costs over five years. Installation must be completed within six weeks of the commencement record, followed by a 90-day stabilisation period. The minimum on-site warranty is three years. Offers are assessed on price (40 points), technical quality (40 points) and automatically scored technical commitments (20 points); at least 40 of the 60 technical points are needed to proceed. The documents contain discrepancies in the scoring rules and the financial threshold for technical experience, which bidders should verify in the official tender documents. To participate, a bidder must have the required legal capacity and authorisation, annual turnover of at least €245,000 in the relevant field in at least one of the three most recent financial years, comparable references and an appropriately experienced team. Offers must be submitted in Spanish in separate encrypted administrative, technical, and price and automatic-commitment files.
