Hotel accommodation, event venues and catering for 2027

Summary

The procurement covers accommodation, meals, event venues and catering for participants connected with the 2027 International Mathematical Olympiad, divided into two lots. Bidders may submit offers for both lots. Lot 1: From 27 June to 16 July 2027, the task-selection committee, with up to 24 members, requires accommodation, meals, meeting and event rooms, and catering within a 1.5-hour drive or 120 km of Budapest. Accommodation must be in a hotel rated at least four stars or equivalent, at one location, with full board and meals suitable for people with dietary needs. Group meeting rooms, a 20-person meeting room, internet access and catering are required. Lot 2: From 14 to 22 July 2027, up to 341 jury and organising-team members require accommodation, full board, conference and work rooms, and catering. The location must be within a two-hour drive of Budapest. Accommodation and event rooms must be at one site or within 500 m of each other, and accommodation must be in a hotel rated at least four stars or equivalent. Requirements include conference rooms, smaller group rooms, work rooms, meals and catering that accommodate allergies and religious dietary needs. Bidders must provide evidence meeting the relevant reference requirements, a completed price table for each lot, and a description of the infrastructure and equipment available for contract performance. Evaluation takes account of the net price (90%) and the option to adjust participant numbers without penalty before the event (10% in total); the permitted adjustment periods and ranges differ by lot.
