Organisation of the Alberto Fernández Memorial Christmas Cross-Country Race

Summary

The contract covers the full organisation and delivery of the Cross de Navidad Memorial Alberto Fernández Christmas race for the Municipality of Santa Cruz de La Palma. The work includes event preparation, managing registrations and race categories, guiding participants, organising the course and logistics, running the event, and publishing results. The organiser must provide participants with shirts, race numbers, food and drinks; trophies for the top five finishers in each category; cash prizes for the overall competition; and medals for all child participants. The organiser must also prepare the race rules, hold the awards ceremony, and submit a final event report. The race is expected to use Calle Real and Avenida Marítima in Santa Cruz de La Palma. Its date is to be agreed and will normally fall within the first 15 days of December. The service delivery period is two months, with preparation starting at least one month before the race. The initial contract term is one year, with annual extensions of up to three additional years, for a maximum total term of four years. The tender ceiling is €18,691.59 excluding IGIC, or €20,000 including 7% IGIC; bids above the ceiling will be rejected. Bidders must demonstrate the required turnover, experience organising sporting events, and staff qualifications. The team must include a coordinator, a technical race director, three area coordinators and 15 sports assistants. Award criteria are price (45 points), the coordinator’s experience (30), provision of lactose-free, vegan or gluten-free refreshments (up to 15 points in total), and voluntary anonymous information-gathering to help adapt the event for people with disabilities (10 points).
