Summary

The tender concerns the first-time installation of media equipment in Hall East, an event venue at the German Patent and Trade Mark Office, Gitschiner Straße 97, Berlin. The contractor must supply, install and configure a complete audio, projection, video-signal, control and camera system, and integrate the contracting authority’s existing Cisco Webex RoomKit Pro video-conferencing device. The system must support lectures, presentations and hybrid events and function as an integrated whole. The work also includes design and installation plans, programming, testing, documentation and approximately four hours of German-language user training for up to four people. About six months after commissioning, the contractor must carry out an on-site functional check and update settings if needed. The equipment includes, among other items, a 16,000-ANSI-lumen projector and lens, four active speakers, audio and video system controls, four handheld and bodypack microphone transmitters with a receiver and accessories, seven IP-based audio/video signal distribution units, a video mixer, a control system, two PTZ cameras, two video encoders/decoders, a tablet, a lectern and accessories for a 19-inch rack. The projector must have a minimum resolution of 1920 × 1200; the video equipment must support up to 4K. The contracting authority will provide the existing cabling, network and power connections, and Cisco device. Price is the only award criterion. The offer must be prepared using the prescribed form and submitted electronically in German by 13 October 2026 at 10:00. A site visit is recommended but optional. The documents give different delivery and acceptance periods: the contract schedule states no later than 12 weeks after award, while the technical specification allows up to 16 weeks.
