Replacing Tobit David with on-premises Microsoft Exchange
Summary
The tender covers planning, installing, configuring, testing and commissioning an on-premises Microsoft Exchange environment to replace the existing Tobit David email solution. The work includes preparing Active Directory; setting up a two-node highly available Exchange environment; integrating mail flow and Proxmox Mail Gateway, the archive, DNS, Citrix, monitoring, backup and the central signature tool; configuring mailboxes; carrying out cutover; and providing documentation and administrator training. The contractor is not to migrate historical emails, personal contacts or personal calendar entries. With the bid, submit at least three references from the last five calendar years for Exchange implementation, migration or operation projects of comparable complexity, evidence of specialist qualifications and relevant practical experience, and the names of a responsible Exchange specialist and a substitute. Submit a complete project plan and price sheet showing the net hourly rate and estimated hours for every work phase. The solution must be fully on-premises, with no mandatory cloud dependency. The work and communications must be in German. Price accounts for 100% of the evaluation; only bids meeting every mandatory minimum requirement will be price-compared. Alternative bids and division into lots are not permitted. The tender documents require completion, acceptance, documentation and handover by 31 December 2026, while the special contract conditions state an execution deadline of 31 January 2027; this discrepancy should be clarified with the contracting authority.
