Supply of spare parts for Schell Grüntechnik GmbH machinery and repair and maintenance services

Summary

GELSENDIENSTE is procuring spare parts and accessories for machinery made by Schell Grüntechnik GmbH, together with repair and maintenance services for that machinery. The work also covers repairs to equipment carriers and attachments, including models SG 100 and SG 120. Maintenance and repairs must follow the manufacturer’s instructions. After a vehicle is registered, a response or appointment is required within 48 hours for standard repair and maintenance work and within 72 hours for other work. Repairs costing more than EUR 3,000 require separate approval before the work is carried out. Parts in stock must be delivered within 48 hours when ordered by 3:00 p.m. to the depot at Adenauerallee 115 in Gelsenkirchen; parts not in stock must arrive within 96 hours of the order. Delivery must be made DDP, at no extra cost, to the destination specified by the buyer, with the supplier bearing delivery costs and risks until the goods are handed over complete and undamaged. Partial deliveries and express or special transport require the buyer’s prior approval. Delivery hours are 7:00 a.m.–3:00 p.m. Monday to Thursday and 7:00 a.m.–2:00 p.m. Friday; all communication must be in German. The framework agreement runs for 12 months and may be extended once for a further 12 months, for a maximum term of 24 months. The estimated value is EUR 80,000 excluding VAT per year and EUR 160,000 excluding VAT over the maximum term; the ceiling for call-offs is EUR 180,000 excluding VAT, and no minimum order volume is guaranteed. Bidders must offer a discount percentage on eligible spare parts and provide a list of those parts with net list prices, as well as net hourly rates for mechanical and electrical work. The highest spare-parts discount and the lowest combined repair and maintenance hourly rates can each receive up to 250 evaluation points. Spare-parts prices and discounts remain fixed for the first 12 months; any price increase for an extension must be substantiated and notified in writing at least three months in advance. If collectively agreed wage rates change, labour rates are adjusted by 70% of the tariff change. Bidders must submit at least two comparable references from the last three years, describe the staff assigned to the services and their qualifications, and confirm the required registrations, insurance and payment obligations. Offers must be submitted electronically by 10:00 a.m. on 16 October 2026; alternative offers are not permitted. The offer remains binding until 16 November 2026.
