Maintenance of sprinkler systems and installation of temporary sprinkler systems

Summary

Messe Essen GmbH is procuring maintenance of the sprinkler systems at its exhibition centre and car parks, together with the design, installation, commissioning, adaptation, and dismantling of temporary sprinkler systems for exhibition stands, for the period 2027–2030. Fixed systems must be maintained twice a year. The work includes checking alarm devices, valves, water supplies, pumps, sprinkler heads, pipework, and overall system operation, and documenting maintenance and detected faults. Fault repairs and additional materials are charged as required. Temporary systems must be installed during the event build-up for two-storey and covered exhibition stands in accordance with Messe Essen’s Technical Guideline 4.4.2. For covered stands in the Galeria and Hall 3, sprinklers are required when the covered area exceeds 30 m². The contractor must design the number and positions of the sprinklers, connect the system to the existing network, and hand it over ready for operation after functional and leak tests. Each sprinkler may protect up to 9 m²; the maximum distance between sprinklers is 3.70 m and the maximum distance from a wall is 1.50 m. A DN 50 connection pipe may serve no more than 18 sprinkler heads. The estimated quantities are 9 main connections and 45 additional heads, but these are for bid evaluation only and do not guarantee orders. The contract runs from 1 January 2027 to 31 December 2030. Bidders must submit a price offer and qualification evidence, including at least three comparable maintenance references from the past three years, valid VdS certification, and evidence of the required qualifications and experience of at least three employees. A 24-hour on-call service and a response time of less than two hours for faults are required. Bids must be submitted in German; alternative bids are not permitted. The contract will be awarded to the lowest-priced bid, taking account of the four-year contract cost and the fault-repair costs calculated using the scenario specified in the tender documents.
