Scanning and digitisation services

Summary

The tender covers scanning and digitisation services for the Technical University of Berlin’s buildings and facilities management department. Materials may include construction and building records, rental-contract files, older files stored in binders or folders, technical documents, plans, and other administrative records. Work will be ordered as needed through individual call-offs: the contractor receives the paper records, digitises them in accordance with the instructions for each order, and returns the originals complete, organised, and undamaged. Digital files must be complete and legible; the usual minimum resolution is 300 dpi, and the standard output formats are PDF or PDF/A. The procurement will result in a framework agreement with a maximum value of EUR 216,000 net. Its initial term is 12 months, with three possible 12-month extensions, for a maximum overall term of 48 months. There is no minimum order volume and no obligation to use the full estimated volume. The offer must be submitted electronically by 15 October 2026 at 12:00; alternative offers are not permitted. The completed offer cover sheet, price sheet, exclusion-grounds declaration, and women’s advancement declaration must be submitted. Bidders must also take account of the insurance, data protection, confidentiality, and original-document protection requirements.
