Technical production, setup and logistics for Catalonia’s First Dysphagia 360° Conference

The contract covers the technical production, installation and logistics for Catalonia’s first Dysphagia 360° conference, taking place at Consorci Sant Gregori on 13 November 2026. The contractor will plan, transport, install, configure and operate the equipment and temporary structures, provide event support services, and dismantle and remove everything afterwards. The conference promotes the IDDSI framework for texture-modified foods for people with dysphagia. The contract includes a 600 m² marquee, a stage with an accessible ramp and furniture, a generator and power distribution, portable toilets (including one accessible unit), signage, graphics and 120 participant badges. It also includes sound and video equipment, an LED screen, a camera for practical workshops, lighting, internet connectivity, simultaneous interpretation in Catalan, Spanish and English, and production and support staff. Return transport must be provided between Girona railway station and Fontajau car park and the conference venue, for up to 120 people each way. Catering, marquee climate control, and recording or audiovisual broadcasting of the event are excluded. Installation starts on 10 November; audiovisual installation takes place on 11 November and full-system testing on 12 November. The conference is on 13 November. The contractor must clear the site and restore it to its original condition by 20:00 on 16 November 2026. The bid price must cover all specified work, transport, staff accommodation and subsistence, and waste management. The budget ceiling is EUR 92,250 excluding VAT (EUR 111,622.50 including VAT); price is worth up to 70 points. Additional interpreters are worth up to 15 points, wood or equivalent interior finishes for the four standard toilets up to 10 points, and renewable HVO generator fuel up to 5 points. By the submission deadline, bidders must be registered in the RELI or ROLECE register and demonstrate the required turnover and relevant service experience from the last three years. A passenger bus transport authorisation and low-voltage installation qualification, together with an electrical project and final certificate signed by a competent technician, are required. Submit one electronic bid with the required declarations and the financial offer in the prescribed form. The contract is not divided into lots; the successful bidder must provide a final guarantee of 5% of the contract price excluding VAT.
