Organisation, design and catering for activities programmed by Roquetas de Mar City Council

Summary

The tender covers the organisation and delivery of the annual programme of activities of Roquetas de Mar City Council’s department responsible for women, citizen participation and older people, together with related printing and catering services. It is divided into three independent lots: (1) organising events, including the anti-violence march on 15 November 2026, the lace-making gathering on 8 November and the commemorative event on 25 November; (2) designing, producing and printing promotional and participant materials; and (3) providing breakfasts and afternoon refreshments, food for march participants, and lunch for the gathering. Bidders may tender for any or all lots, and there is no limit on the number of lots that one bidder may win. Depending on the lot, the work includes planning and coordination, supplying the required staff, equipment and logistics, and delivering the services to the municipal schedule. For example, Lot 1 includes managing march registrations, providing at least five support staff, operating two refreshment points and ensuring medical cover. Catering must meet food-safety, special-diet, staffing and furniture requirements. Designs must be approved by the city council before production. Award decisions take account of both price and lot-specific quality improvements; price is important but is not the only award criterion. The total estimated tender budget is €42,648.91 including VAT (€36,913.39 excluding VAT); the total estimated contract value is €81,209.45 excluding VAT. The initial contract term is one year from signature, with a possible one-year extension, up to a maximum of two years. Bidders must meet the suitability criteria, provide qualified staff as required for each lot, comply with the contract conditions and provide the required performance guarantee.
