Relocation and placement of document boxes between archives
Summary
The procurement covers the collection, loading, relocation, transport and placement of 47,300 document boxes (approximately 5,676 linear metres of shelving) between Extremadura’s General Archive and Central Administrative Archive, as well as internal relocation within the Central Administrative Archive. The work is to be completed in two successive phases: first, 16,250 boxes must be moved within the Central Administrative Archive from storage rooms 2 and 3 to rooms 4, 5, 7 and 8 within a maximum of 20 working days; next, 31,050 boxes must be transferred from the General Archive to the cleared rooms 2 and 3 of the Central Administrative Archive within a maximum of 50 working days. The overall contract period is up to four months from 1 December 2026, or from the day after contract signature if that occurs later. Normal working hours are 08:00–14:30 on weekdays. The contractor must maintain box traceability, prevent damage and place each box in the correct location as instructed by archive staff; boxes must not be opened without permission. The maximum unit price is €1.20 per box excluding VAT. The budget is €56,760 excluding VAT and €68,679.60 including VAT. Price is worth up to 60 points. The remaining automatically scored points cover reducing the second-phase deadline (up to 10), additional equipment (up to 10), a four-hour occupational safety course (up to 10), and a vehicle with an environmental label (up to 10). Bidders must commit to providing at least one suitable van, 15 wheeled cages or trolleys each holding at least 50 boxes, and enough additional moving and load-protection equipment. Proof of capacity is waived, but the bidder selected for award must confirm the equipment details. The successful contractor must also maintain valid liability insurance throughout the contract. The tender documents require an electronically submitted offer with an advanced electronic signature and responsible declarations.
