Digitisation of microfilms for the State Archive
Summary
The tender covers digitisation of the Hamburg State Archive’s microfilms in two lots: Lot 1 comprises approximately 5,837 notification-record films and 9.23 million images; Lot 2 comprises approximately 3,209 films from various archival collections and 4.42 million images. The work includes collecting and transporting the films from the archive, cleaning and stabilising them where necessary, digitising them, and documenting the work. The digital material must be delivered in accordance with the tender requirements; cloud-based data transfer is not permitted. The archive must regain access to the content within 20 State Archive working days after the films are collected, preferably through access to the originals. Bidders may tender for up to both lots and may be awarded both. The estimated total contract value is EUR 409,500 excluding VAT, and the planned contract period runs from 17 December 2026 to 15 April 2030. Price accounts for 50% of the evaluation and the digitisation concept for the remaining 50%; the concept is assessed on quality assurance, transport, integrated pest management and scheduling. Participation requires, among other things, at least 5 references for similar work performed within the last 5 years, a company profile, evidence or an explanation of the quality management system, and a description of storage conditions. Offers must be submitted electronically in German by 19 October 2026 at 10:00.
