Framework agreement for archiving, off-site file storage and digitisation

Summary

The tender covers off-site storage and management of archive units, their retrieval and return, archiving, document digitisation and secure storage of data media, including LTO tapes. The framework agreement runs from 1 December 2026 to 30 November 2030 and has a maximum call-off value of EUR 363,100 excluding VAT; no fixed order volume is guaranteed. The initial transfer involves approximately 53,000 archive units, with services provided on demand. The supplier must provide a secure German-language web portal, access for at least 5 customer employees, archive storage within 50 kilometres of Berlin’s city boundary, the required fire and access protection, data protection measures, and regular and express deliveries. The tender must be submitted electronically through Berlin’s procurement platform by 29 September 2026. The tender price must separately cover all service components, including transfer, transport, storage, administration, retrieval, destruction, digitisation and the transfer of data at the end of the contract.
