Asterisk-Based Telephone Solution

Summary

The tender concerns replacing the Paul Drude Institute’s existing telephone system with a central Asterisk-based IP telephone solution. The supplier must deliver, configure and hand over a working system as a virtual machine in a Linux environment, hosted entirely on premises with no cloud dependency or mandatory internet connection. The solution must support at least 200 extensions and 150 users, SIP, existing telephones and the SIP trunk, and directory services such as LDAP. It must also provide automatic device provisioning, central and personal phonebooks, softphones, call histories, call forwarding and voicemail with email notifications. Parallel operation with the existing system must be maintained during migration. The work includes initial configuration and support for setting up users, extensions, groups and devices, as a one-time effort of 0.5–1 person-day. Initial configuration for three users and four extensions must be carried out jointly with the contracting authority. The supplier must deliver one online administrator training session for 1–3 participants in German, expected to last 0.5–1 person-day. The contract also includes five years of software maintenance, support and a hotline. The response time is four hours during service hours, which are Monday to Friday, 08:00–17:00. The evaluated net total price must not exceed EUR 30,000. The bidder must complete all required unit prices in the price schedule; any missing price leads to exclusion. The offer must include a description of technical and organisational data-protection measures and a complete list of all intended personal-data sub-processors. Personnel must meet the German-language and relevant telephone-system experience requirements.
