Technical Support and Delivery of Events and Conferences

Summary

The tender is for a framework agreement covering technical support and delivery of events and conferences organised by the Baden-Württemberg Ministry of Transport. The work includes technical advice and planning, supplying and operating equipment, transport, setup and dismantling, and providing qualified technical staff. Services are ordered separately for each event; no orders or minimum purchase volume are guaranteed. The framework agreement runs from 1 January 2027 to 31 December 2030. Technical support for the Conference of Transport Ministers and the joint conference of the states’ transport and road construction department heads is specified for 2027 and 2028. Depending on the event, services may include conference, audio, lighting, video and streaming equipment, recording, backup internet connections, and event and technical staff. The example requirements include a hybrid evening event in Stuttgart for approximately 120 in-person and 200 online participants, and a two-day in-person conference for approximately 100–120 participants. Technical and staffing needs are confirmed in each individual order. The contractor must meet the minimum requirements in the technical schedules and explain any deviations. Insurance is required with cover of at least €3 million for property damage, €3 million for financial losses and €5 million for personal injury; staff qualification evidence must be provided if requested by the contracting authority.
