Procurement of ICT equipment and mobile phone hardware

Summary

The tender covers the supply and management of workplace ICT equipment, mobile phones and related accessories for GGD Drenthe and the Drenthe Safety Region. Items include laptops, phones, tablets, monitors, audiovisual equipment, docking stations, keyboards, mice, chargers, bags and phone holders. Estimated quantities include 675 laptops, 675 employee mobile phones and 120 vehicle phones, 200 monitors, 150 tablets and 30 audiovisual devices; accessory quantities are estimated separately in the tender documents. The maximum budget is €2,000,000 including VAT, with an estimated annual value of €300,000. A single-supplier framework agreement will run for 48 months from 1 January 2027, with two possible one-year extensions, up to 31 December 2032. The contract is not divided into lots. In addition to supplying equipment, the contractor will provide warranty service, maintenance and logistics support, and operate customer-specific webshops, device registration and asset-data management. Standard delivery is due within five working days. Equipment must have at least a 24-month warranty and at least 36 months of manufacturer support and updates available at the time of delivery. The bid must include a price schedule, the European Single Procurement Document, a reference, a company-register extract, responses to four quality questions and a draft service-level agreement. Quality accounts for 70 points and price for 30; quality scoring covers service and warranty (30), logistics and service levels (15), the webshop (20) and sustainability (5). Bidders must demonstrate the required financial and technical capacity, including through references, insurance and certificates. Bids must be submitted electronically, be unconditional and be properly signed.
