Organization and delivery of Christmas events 2026/2027

Summary

La Vila Joiosa is procuring a two-lot service to plan, organise and deliver events for the 2026/2027 Christmas season. The contractor must provide the programme, performers and costumed characters, decorations, lighting and sound equipment, required structures, installation and dismantling, visitor-flow management, security measures, and upkeep and cleaning of the event areas. Lot 1 covers the Santa Claus events on 22–23 December 2026: a Santa Claus parade and visits in the gardens of the Barbera estate, including Christmas-themed decoration of an area of approximately 1,000 m². Lot 2 covers the Three Kings events on 3–5 January 2027: a royal postman parade, visits to the royal attendants, the Three Kings parade and a royal camp in the Barbera gardens. Bidders may tender for either or both lots, with no limit on the number of lots. The technical specifications include, for the Santa Claus events, Christmas lighting, at least 40 costumed characters, a music band and a dance group. The Three Kings events include horses, torches, performers and parade platforms, as well as historically themed camps and tents and a live nativity scene. The contractor is responsible for all required installation and dismantling, security services in line with the approved safety plan, safety equipment, maintenance and post-event cleaning. The maximum budget including VAT is €80,000 for Lot 1 and €120,000 for Lot 2. Price is the sole award criterion and carries up to 100 points. Bids must be submitted electronically within 15 calendar days from the day after publication of the contract notice. Bidders must demonstrate professional liability insurance of at least €600,000 and relevant experience in comparable services during the last three years: at least €80,000 in the year of highest activity for Lot 1 or €120,000 for Lot 2.
