Organisation of Sueca’s Three Kings Parade and Official Reception

Summary

The contract covers the organisation, coordination and delivery of Sueca’s Three Kings parade and the official reception of the Three Kings in 2027 and 2028. Bidders may tender for one or both lots, which will be awarded separately. Lot 1 covers the parade on 5 January at 19:30: the contractor must provide six child- and Christmas-themed performances, six themed platforms or structures, three music groups and six floats, and manage costumes, technical equipment, sound, logistics and safety. At least 250 kg of sweets and chocolate coins must be supplied for the floats; the sweets must be gluten-free. Lot 2 covers the official reception on 3 and 4 January, from 11:00 to 13:30 and from 17:30 to 21:00. It requires the three Kings in suitable costumes with attendants, three thrones and mailboxes, Christmas decorations, lighting, sound, event protocol and safety, children’s activities, and symbolic gifts or sweets. The estimated contract value is €87,500 and the maximum budget is €105,875, including 21% VAT. Lot 1 has a budget of €40,000 excluding VAT for each year; Lot 2 has a budget of €3,750 excluding VAT for each year. Bids are evaluated on price (30 points), automatically scored quality features (45 points) and a technical proposal (25 points). Bidders must submit a technical delivery plan, detailed technical descriptions, and safety and contingency plans. The successful bidder must provide public liability insurance covering at least €600,000 and a final guarantee of 5%. Performance in 2027 and 2028 is conditional on the relevant budgets taking effect and sufficient funding being available.
