Radiotherapy linear accelerator with five-year full-service maintenance

Summary

The procurement covers the supply of one new digital radiotherapy linear accelerator, including software and subsystems, and its installation, integration, commissioning and acceptance testing at University Hospital Aachen. The equipment will replace a decommissioned ELEKTA Axesse accelerator and must integrate with the existing treatment-planning, MOSAIQ and ELEKTA systems. Required capabilities include 6 MV and 6 MV FFF photon beams, 6–15 MeV electron beams, IMRT, online adaptive radiotherapy, VMAT, IGRT, respiratory-gated and stereotactic treatment, a 6D patient couch, imaging and positioning systems, and DICOM 3.0 interfaces. The supplier must provide all necessary hardware and software, install and configure the interfaces, submit a workable project schedule, and hand over the system after successful testing and acceptance. The bid must confirm compliance with all mandatory technical, CE, MDR, data-protection and cybersecurity requirements; failure to meet any mandatory requirement results in exclusion. Training must include at least two system administrators, four basic-course participants and four advanced-course participants, on-site system training for approximately 30 users, and training on system administration and support for about eight physics staff. Free annual training throughout the five-year service contract, a warranty of at least 12 months, and a five-year full-service contract including vacuum components are required. German-language support must be available on working days from 08:00 to 18:00; the first-level support response time is 30 minutes and the on-site response time is 4 hours. Required annual availability is at least 97% for hardware and 98% for software. The bid must be submitted electronically in German by 29 October 2026 at 08:00; supporting evidence and product descriptions may be in English. Price is the sole award criterion and accounts for 100% of the evaluation.
