Summary

The tender concerns a comprehensive event management service for GIZ–African Union partner events in various countries. The contractor will plan and deliver face-to-face, online and hybrid events, including venues and accommodation, participant transport and visas, registration and communications, catering, interpretation, moderation, technical equipment, on-site support, documentation and participant reimbursements. Events may range from 10–20 participants to up to 500 participants, with some exhibitions of up to 1,000 participants; virtual events generally involve 50 to more than 200 participants. The contract runs from award until 31 December 2030. Tenders must be submitted in English by 12:00 noon Berlin time on 6 October 2026. The technical bid carries 70% of the evaluation and the financial bid 30%; there will be no negotiations. The fixed event budget is EUR 15,000,000, with additional budgets of EUR 50,000 for travel, EUR 15,000 for flight-emission offsets and EUR 200,000 for flexible remuneration. The bidder must demonstrate substantial recent event-management and African experience, provide the required expert team and references, and submit the technical concept, service-order checklist, reporting template, CVs, eligibility declarations, data-protection measures and price bid in the prescribed format.
