Summary

The tender concerns the provision and operation of cloud-based seminar management software as a service (SaaS) for organising seminars and events of Deutsche Aidshilfe throughout Germany. The solution must cover publication and management of events, integrated address management and customer relationship management (CRM), communication functions, post-event processing and reporting. The current scale is approximately 500 seminars and 5,000 participants per year. The scope includes software hosting and setup, customisation, maintenance, updates, further development, telephone and email support, migration of existing data, training for up to 20 employees totalling 8 hours, and documented interfaces to aidshilfe.de and CleverReach. The initial contract term is 24 months, with two possible 24-month extensions and a maximum term of 72 months. The submission deadline is 12 October 2026. The procurement is not divided into lots and variant tenders are not permitted.
