Acquisition of FILEDOC and COGNIFY software licences

Summary

Museus e Monumentos de Portugal is procuring FILEDOC and COGNIFY software licences, together with upgrade, maintenance and support services, for 36 months. The work includes delivering, installing, configuring and testing the licences. FILEDOC must allow an unlimited number of users, and its licence must cover version upgrades. Support includes, among other things, diagnosing and resolving incidents, remote installations, system administration, backups, integrations, training, configuration and development. The COGNIFY service must include a shared environment with 30 GB for the vector database and an allocation of tokens for AI use. Minimum support response targets are 4 business hours for critical incidents, 8 business hours for high-priority incidents, and 2 business days for medium- or low-priority incidents and development requests. The contract ceiling is EUR 79,010 excluding VAT. Price is the sole award criterion, and the lowest total-price offer wins. Offers must be submitted electronically by 14 October 2026 at 23:59 and remain valid for 66 days. The offer must include a technical description, prices, CVs for the support team and confirmation from the software manufacturer or rights holder that the bidder is authorised to supply the licences and related services.
