Supply of an A3 colour multifunction device and consumables

Summary

The procurement is for the one-time supply of one new A3 colour multifunction device—printer, copier and scanner—with consumables for the Regional Labour Office in Poznan. The device must be delivered, installed and configured ready for use within 21 calendar days of contract signing. The price must cover transport, installation, commissioning and inspections and maintenance during the warranty period. The supplier must train five staff members and provide a Polish-language user manual and warranty card. The device must meet the technical minimums in the tender documents, including colour printing and copying, scanning, automatic duplex printing and duplex scanning in a single pass. It must scan at least 100 images per minute single-sided or 200 double-sided and print at least 20 A4 pages per minute. Other requirements include a minimum resolution of 1200 × 1200 dpi, A5–A3 formats, two paper trays holding at least 500 sheets each, 4 GB RAM and a 250 GB hard drive, a colour touchscreen of at least 10 inches, and a warranty of at least 24 months. A complete set of installed consumables and an additional CMYK toner set sufficient for at least 15,000 colour prints must be included. The bid must include a completed product compliance sheet and the device’s technical specification. Bids are evaluated on price (60%) and additional warranty duration (40%); bidders may offer 12 or 24 months beyond the mandatory 24-month warranty. No separate turnover, experience or staffing qualifications are imposed. The submission deadline is 9 October 2026 at 9:00 a.m.
