IN.SiTu virtual reality systems – Lots 1 and 2

Summary

The procurement covers new virtual reality equipment for the university’s IN.SiTu research project, divided into two separate lots. A bidder may tender for either or both lots. - **Lot 1 – Main VR system:** 16 standalone VR/MR headsets with controllers and accessories, 16 PCVR cables at least 5 m long, 16 head straps with replaceable batteries of at least 10,000 mAh, 8 multi-battery charging docks, 16 additional batteries, and one cleaning and storage station for at least 12 headsets. Among other requirements, the headsets must provide 6DoF tracking, colour passthrough, a depth sensor, Unity and OpenXR support, at least 2,000 × 2,000 pixels per eye, a refresh rate of at least 120 Hz, at least 256 GB of internal storage and Wi-Fi 6E. - **Lot 2 – Special VR system:** two identical PC VR/MR headsets for professional simulation and research, together with two compatible 15 m cable systems. Requirements include integrated 6DoF inside-out tracking without external base stations, colour passthrough and depth data, at least 3,800 × 3,700 pixels per eye, a field of view of at least 120° horizontally and 100° vertically, a refresh rate of at least 90 Hz, and eye tracking of at least 200 Hz with documented development interfaces. Only new equipment is acceptable; used or refurbished devices will not be evaluated. All components must meet the technical minimum requirements and be mutually compatible. Required EU conformity and safety evidence must be provided for electrical equipment. Delivery of the complete order is due within 12 weeks of contract award. The gross price, including all costs, must not exceed EUR 22,408.97 for Lot 1 or EUR 26,536.45 for Lot 2. Bidders must provide the requested professional insurance and professional association membership details, as well as turnover figures for 2023, 2024 and 2025; no minimum turnover threshold is stated. The successful tender will be selected on technical quality (50%), delivery time (10%) and price (40%). The tender and required forms must be submitted electronically in German by 30 October 2026 at 11:00.
