Maintenance of PDI compressed-air systems

Summary

The procurement covers maintenance and inspections of four compressed-air systems at the Paul Drude Institute (PDI), together with repairs ordered as needed. The systems comprise two Renner screw-compressor installations with vessels and ancillary equipment, a Bauer high-pressure helium compressor, and a Stenhoj standby compressor. Work includes cleaning, replacing filters and other wear parts, properly handling oils and condensate, and carrying out leak tests where required. Maintenance must follow applicable law, recognised technical rules including VDMA 24186, DIN VDE and DGUV, and the manufacturers’ instructions. Maintenance is scheduled at set intervals. System 1 receives an annual visual inspection and a basic maintenance service with a filter kit every two years, next due in 2027. System 2 receives basic maintenance annually, next as soon as possible in October 2026; filters and the V-belt and tensioning roller are replaced annually, valves every two years, hoses every three years, and the shaft seal every four years. The Bauer helium compressor receives annual basic maintenance, next as soon as possible in October 2026, and an oil change every two years, next due in 2027. The Stenhoj standby compressor receives basic maintenance with oil and filter changes every two years, next due in 2027. Minor and emergency repairs may also be ordered when needed. During maintenance, the contractor may carry out an unplanned minor repair without a separate order up to EUR 250 net per system per maintenance visit, if necessary to restore operation immediately. The total cap for ordered repairs throughout the contract is EUR 6,000 net. Work takes place at PDI in Berlin during normal working hours, Monday to Friday, 07:00–16:00. Qualified action must begin within 24 hours for an outage that prevents operation and within no more than 48 hours for other faults. For an outage preventing operation, the compressed-air supply must be restored provisionally and safely within 48 hours; the restoration period for a service-impeding fault is five working days. The contractor must monitor maintenance intervals and coordinate each visit with PDI at least four weeks in advance. A maintenance report containing the required information must be provided for each system, and a sample of the report to be used must accompany the bid. The contract starts on 1 October 2026, initially runs through 30 September 2027, then renews annually unless terminated with three months’ notice, and ends no later than 31 December 2031. Maintenance must be priced as a fixed net amount for each system, including the required tools, manufacturer maintenance kits and incidental costs. Price is the sole award criterion. Participation requires evidence of company registration, liability insurance of at least EUR 2,000,000, two qualifying past references and the required staff qualifications.
