Maintenance and upgrades of linear accelerators at the Central University Hospital of Asturias

Summary

The tender concerns maintenance and upgrades of linear accelerators and the associated Varian Aria oncology information system and Eclipse treatment-planning system at the Central University Hospital of Asturias. The equipment includes TrueBeam, Clinac iX and Clinac Novalis units. The work covers comprehensive equipment maintenance, installation and maintenance of upgrades, user training following upgrades, and, where required, equipment deinstallation and operational decommissioning. The contract is not divided into lots. The contract runs for 3 years, with a possible extension of up to 24 months, for a maximum total term of 5 years. Upgrades not dependent on installation of new equipment must be installed within 4 months of contract signature. The budget excluding VAT is EUR 2,652,000; the estimated value, including possible extensions and modifications, is EUR 4,656,400. Award criteria are technical quality (40 points), price (50 points) and extended coverage for urgent or healthcare emergencies (10 points). The baseline coverage is 08:00–17:30 on working days, Monday to Friday; extending coverage to 19:00 earns 5 points and to 20:00 earns 10 points. To participate, a tenderer must demonstrate annual turnover of at least EUR 2,328,200 and experience delivering at least three similar services during the last three years, with a cumulative value of at least EUR 1,086,493.33 in the year of highest activity. The tender must include a technical description of the work organisation, upgrade installation and remote maintenance, and a commitment to provide sufficient personnel and resources. The contractor must also comply with the hospital's occupational safety, radiation protection and other safety requirements.
