Framework agreement for monochrome workplace printers

Summary

The tender concerns a framework agreement for the supply of approximately 3,000 monochrome workplace printers and on-premises software to manage them for the Munich city administration. The work includes pre-configuring, delivering and installing the printers; installing and supporting the fleet-management software; maintaining the devices; and, where requested, carrying out chargeable repairs and other additional work. The printer price must include delivery, configuration, included maintenance, reporting and incidental costs. Optional items include extra paper trays, software support, training and compliant disposal of old printers supplied by other vendors. The estimated order quantity of 3,000 printers is not guaranteed. The agreement runs for two years, with an optional two-year extension; the earliest start date is 1 April 2027. Bidders must demonstrate relevant net turnover of at least €400,000 in each of the last three completed financial years, the required liability insurance, at least three technical specialists and two suitable delivery and two maintenance references. They must also describe their quality and environmental management measures or provide suitable certificates. The printers and management software must meet extensive technical, security, environmental and compatibility requirements. All mandatory criteria must be met, and the contract will be awarded to the lowest-priced compliant tender. Bids must be submitted electronically by 12:00 on 10 November 2026.
